1 Introduction - ARS GCC Office 365 Email Migration 1

ARS-GCC Email Migration: Microsoft is closing down the current DITAR environment where USDA resides, existing Exchange ITAR environment will be discontinued December 2018. USDA has been migrating its email customers to O365 GCC, Government Community Cloud over the last year.

Date/Time: October 11, 2018 from 9pm - 9am EST

Impact: Resources affected during and after migration include Outlook, OWA, Skype and mobile devices.

Instructions: See applicable instruction links below. We recommend first accessing your email using Outlook Web Access the morning after your migration to confirm your successful migration. If your account successfully migrated, you will have received an email with the subject line: GCC Exchange Online Migration Complete.

Outlook Web Access: Windows | Mac

Outlook 2016: Windows | Mac

Skype for Business: Windows | Mac

Mobile devices: Apple iOS | Android

System requirements:

Supported Operating Systems: Mac, Windows, Android, iOS

Supported Software: Outlook 2013/2016/2019, Outlook mobile app (note: Apple Mail is no longer supported. macOS and iOS Apple Mail users will need to migrate to Outlook.)

1 Post-migration Instructions - Outlook Web Access 1

We recommend first accessing your email using Outlook Web Access the morning after your migration to confirm your successful migration.

These instructions are intended to be used the first time you login to Outlook Web Access post-migration:

  1. Open any web browser and navigate to: https://outlook.office365.com
  2. Type your email address and click next.



  3. Select "Active Directory"



  4. Select the appropriate smart card device and login with your LincPass.





  5. Your webmail (OWA) account should open at this point.

Important: We recommend first accessing your email using Outlook Web Access the morning after your migration to confirm your successful migration.

These instructions are intended to be used the first time you login to Outlook post-migration:

  1. Reboot your computer
  2. Connect to PulseSecure VPN (skip this if you are in Marshfield or Sturgeon Bay)
  3. Open Outlook client
  4. Modern Authentication prompt should appear. Clear the pre-populated numeric address and enter your email address: first.last@ars.usda.gov
    If you see a username with your USDA.net account pre-populated, click on "sign in with another account" and then enter your first.last@ars.usda.gov email address.



  5. If prompted for username/password, use your USDA.net login for username (i.e. usda\first.last) and email password.



  6. You should be successfully logged into Outlook at this point. If not, please reboot your computer again and go back to step 1.
  7. Mailbox will update. If not, please try logging into webmail: https://outlook.office365.com

Note: Apple Mail is no longer supported. macOS and iOS Apple Mail users will need to migrate to Outlook

These instructions are intended to be used the first time you login to Outlook post-migration:

  1. Reboot your computer
  2. Connect to PulseSecure VPN (skip this if you are in Marshfield or Sturgeon Bay)
  3. Open Outlook application
  4. Modern Authentication prompt should appear. Clear the pre-populated numeric address and enter your email address: first.last@ars.usda.gov
  5. If prompted for username/password, use your USDA.net login for username (i.e. usda\first.last) and email password.

Skype will continue to work but will not be migrated until 1-3 days after your mail migration.

These instructions are intended to be used the first time you login to Skype post-migration:

  1. Reboot your computer
  2. Connect to PulseSecure VPN (skip this if you are in Marshfield or Sturgeon Bay)
  3. Open Skype for Business client
  4. Enter your credentials (first.last@usda.gov) and password
  5. If prompted for username/password, use your USDA.net login for username (i.e. usda\first.last) and email password.
  6. You may see a credential bar like the one below, but Skype will continue to work. It is expected to go away after 3 days. If it does not, please contact us: mlit@usda.gov

  7. Skype will migrate up to 3 days after your mail migration. An indication that your Skype migration has completed is that you should no longer see this bar after inputting your address and password.

1 Post-migration Instructions - Apple iOS 1

These instructions are intended to be used the first time you login to Outlook App with Apple iOS post-migration:

  1. Download the Outlook App from the App Store (must be on wifi)
  2. Open the MobileIron client on the device and tap the Settings button at the bottom right of the app.
  3. Tap Re-Enroll Device > Select the option to Re-Enroll > Allow > Install
  4. You will be prompted to enter your device passcode; once entered select Done (note: Remember passcodes unlock your device and passwords are used to access email.)
  5. Select Install > Install > Trust > Done
  6. After the installation of the iOSProfile, you will receive several quick App Installation prompts. Tap the Install button to install the MobileIronTunnel, MicrosoftAuthenticator, and Microsoft Outlook apps.
  7. Go to Settings > Outlook > Turn on "Restrict app to GCC Accounts" > tap Home button.
  8. Open Outlook > tap continue if prompted to reset > Type your email address in the text field, then tap Add Account
  9. Tap Open Authenticator > Tap Allow > Select Active Directory (x2) > Continue (x2) > Tap Skip on the intro > Tap Turn On and then Allow for notifications.
  10. You have successfully updated your iOS device for GCC

Q: Is my email account affected by this migration?

A: If you are a USDA employee, your email account will be migrated.

 

Q: Will I still receive emails to my @ars.usda.gov email address?

A: Yes, emails sent to your @usda.gov and @ars.usda.gov email addresses will be delivered to the same mailbox.

 

Q: How do I know if my email has been migrated?

A: If your account successfully migrated, you will have received an email with the subject line: GCC Exchange Online Migration Complete.

Q: Who do I contact if I need assistance?

A: By emailing mlit@ars.usda.gov or clicking the blue support button in the lower right of our homepage (http://usda.wisc.edu).

Q: Do I need to connected to PulseSecure VPN after my email has been migrated?

A: Those that are not on USDA.net network (i.e. Marshfield, Sturgeon Bay) will still need PulseSecure VPN to access email via Outlook. Those using webmail (OWA) do not need a VPN connection.

 

Q: Is Apple (Mac) mail still supported?

A: Apple does not support Office 365, therefore, you will need to access email through Outlook if you are using a desktop or mobile client.
